Job Title: Financial Operations Coordinator

About the Role:

This position plays a vital role in ensuring the seamless operation of our financial processes. As a skilled coordinator, you will be responsible for managing and coordinating all aspects of invoice preparation, verification, and processing.

Key Responsibilities:

  • Accurately prepare, verify, and process invoices in a timely manner, adhering to company policies and statutory requirements.
  • Identify and reconcile discrepancies in invoices and resolve queries with internal teams/vendors, ensuring prompt resolution.
  • Maintain accurate and up-to-date records of invoices, ensuring compliance with organizational policies and procedures.
  • Assist in preparing monthly invoicing reports and supporting documentation for audits, providing clear insights into financial performance.
  • Follow up with clients/vendors regarding pending payments or clarifications, maintaining effective communication channels.

Administrative Support:

  • Provide day-to-day administrative support, handling documentation, record management, and correspondence efficiently.
  • Support vendor management processes, including onboarding, compliance checks, and payment coordination, ensuring smooth relationships.
  • Assist with employee expense reimbursements and petty cash management (if applicable), maintaining transparency and accountability.
  • Offer administrative support to the Finance and Operations teams as required, contributing to the overall efficiency of our operations.

Coordination & Compliance:

  • Liaise with cross-functional teams to streamline invoice approvals and resolve discrepancies, fostering collaboration and open communication.
  • Ensure proper filing and archiving of financial and administrative records, adhering to organizational policies and internal controls.
  • Adhere to organizational policies, internal controls, and compliance requirements, maintaining the highest standards of professionalism.

Requirements:

  • Demonstrated experience in office administration and vendor coordination, with a proven track record of success.
  • Relevant education plus strong administrative experience, excellent organizational skills, and proficiency in office software.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Proficiency in the Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
