
Strategic Administrative Professional

This position serves as a high-level administrative professional supporting the Head of Department. The ideal candidate will possess exceptional organizational skills, a strong work ethic, and the ability to maintain confidentiality.
Key Responsibilities- Manage complex calendars, schedule meetings, and coordinate departmental appointments.
- Organize travel plans, itineraries, and logistics for the HoD.
- Draft, proofread, and manage internal and external correspondence, reports, and presentations.
- Serve as a liaison between the HoD and internal/external stakeholders including faculty, staff, and vendors.
- Support coordination of departmental meetings, workshops, and special projects.
- Assist in preparing reports, departmental reviews, and follow-ups on action items.
- Maintain accurate records of departmental activities, project progress, and communications.
- Ensure timely collection and submission of data, reports, and materials required by the HoD.
- Track deadlines and coordinate across teams to ensure deliverables are met.
- Help manage department budgets, procurement requests, and office supplies (if applicable).
- Support event planning, training sessions, and departmental initiatives.
- Handle confidential information with utmost professionalism.
- Bachelor's degree in Business Administration, Management, Communications, or related field.
- 3–6 years of relevant experience as an Executive Assistant, preferably in a corporate or academic setting.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of Google Workspace is a plus.
- Familiarity with scheduling tools, document management systems, or ERP platforms is advantageous.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional demeanor and discretion in handling sensitive matters.
- Attention to detail and proactive problem-solving approach.
- Ability to work independently and coordinate with multiple stakeholders.
