We are seeking a proactive and highly organized Executive Assistant (EA) to support our CEO. The EA's primary objective is to efficiently manage non-strategic tasks, allowing the CEO to focus on high-level decision-making and strategic initiatives.
The EA will ensure flawless execution of daily operations, from calendar management to travel coordination, enabling smooth workflow and enhanced productivity.
Responsibilities and Time Allocation1. Executive and Administrative Support (40%)
- Calendar & Schedule Management: Oversee daily scheduling and appointments, coordinating meetings with internal and external stakeholders
- Communication Management: Ensure the CEO has the necessary research, materials, and information for meetings. Draft and manage CEO correspondence, maintaining confidentiality. Collaborate with the Marketing Team to manage social media preparation.
- Document Preparation: Prepare agendas, briefing documents, and meeting notes, ensuring actionable follow-ups.
- Travel logistics: Arrange travel bookings, ground transport, insurance, hotel reservations, and meeting schedules for both domestic and international trips.
2. Project Coordination & Strategic Initiatives (30%)
- Special Projects: Assist the CEO in managing special projects, from strategy to execution. Track progress and coordinate deliverables.
- Cross-Department Collaboration: Serve as a communication bridge between the CEO and other departments, following up on deliverables based on timelines.
- Relationship Building: Build and maintain relationships with internal and external stakeholders, representing the CEO professionally.
3. Research & Analysis (20%)
- Data Gathering & Reporting: Conduct research and synthesize findings into concise data points supporting strategic decisions.
- Market and Policy Analysis: Stay updated on trends in education and social impact, providing insights that support organizational goals.
4. Finance & Administrative Alignment (10%)
- Expense and Reimbursement Coordination: Work closely with the Finance team to manage CEO-related expenses, ensuring timely reimbursements and clear financial reporting.
- Event Coordination: Align with the Finance team to facilitate and coordinate logistics for all events and meetings requiring the CEO's involvement, ensuring all administrative and financial details are in place for seamless execution.
Qualifications
Experience:
- 4-5 years of experience in a high-level Executive Assistant role, preferably supporting C-level executives or CEOs.
- Startup environment experience is a significant advantage.
Education:
- Bachelor's or Master's degree.
Software Proficiency:
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with project management tools and calendar management software (Google Calendar).
We offer an estimated salary of $80,000 - $110,000 per year, depending on location and experience.
