Job Summary

This role involves managing software requests, validating license availability, and assigning licenses through vendor portals. The successful candidate will also track contract expirations, coordinate with legal and procurement for contract reviews and renewals, and ensure accurate records of license assignments, usage, and compliance.

Key Responsibilities
  • Process software requests via BMC Helix/Digital Workplace Portal and validate license availability.
  • Assign licenses through vendor portals, initiate license harvesting or procurement when required, and maintain accurate records of license assignments, usage, and compliance.
  • Track contract expirations using dashboards (Asana, Remedy), coordinate with legal and procurement for contract reviews and renewals, and ensure Ariba contracts are active and published before PR/PO creation.
  • Create and manage Purchase Requisitions (PRs) and POs in SAP, collaborate with the Center of Excellence (COE) for PR processing, and track PO status and update stakeholders accordingly.
  • Use shared mailboxes for all vendor interactions, ensure all communications are tagged to relevant Remedy tickets, and coordinate with vendors for quotes, license keys, and order confirmations.
  • Coordinate with desktop engineering and local IT for software packaging and deployment, track deployment status and update Remedy tickets, and manage add-ons and plugin deployments via Intune and Microsoft Entra.
  • Conduct regular license usage reviews and reclaim unused licenses, ensure all actions are documented for audit and compliance, and support internal and vendor audits by providing accurate license data.
  • Maintain and update SAM dashboards for renewals and compliance tracking, export and format data from Remedy for dashboard imports, and use dashboards for team coordination and audit visibility.
