Job Title: Senior Executive

Job Description:

We are seeking a highly skilled and experienced Senior Executive to join our organization in Kolkata, West Bengal.

Key Responsibilities:
  • Provide support to the AFM to ensure critical operational items are attended to within agreed time frames.
  • Offer relief support to the F&A site teams as needed, including but not limited to Client Interface Administrator, Facilities Administrator, Facilities Officer, etc.
  • Assist with site audits, floor walks, tabulating site defects, and setting deadlines for rectification.
  • Ensure timely training, reporting, and completion of Housekeeping, Dispatch, Pantry, and Cafeteria staff tasks.
  • Take full responsibility of the site during entire shifts.
  • File site-related documents, including challans, GRNs, and consumables stock reports.
  • Maintain adherence to Standard Operating Procedures (RACI) for stationery, midnight snacks, material movement, and other essential processes.
  • Submit timely reports as requested by Asst Manager or Facility Manager.
  • Ensure employee health, safety, and related services.
  • Follow vendor escalation processes and cleaning/maintenance schedules.
  • Track Facility Operating Expenses, process invoices for payment, and liaise with client finance teams.
  • Monitor housekeeping, pantry, stationery consumables, and reorder when necessary.
  • Arrange consumables and supplies for Client VIP visits and meetings.
  • Coordinate facility rounds, brief Help Desk and Mailroom Executives on issues.
  • Prepare snag lists, coordinate with BMS and housekeeping to close noticed points.
  • Check vending machines, photocopier machine readings, H&K attendance, food quantity, and quality.
  • Coordinate medical emergencies, provide management advice to Helpdesk and Mailroom.
  • Oversee mailroom processes, check vendor employee attendance, prepare weekly shift duty rosters, manage inventory control, and maintain logbooks.
