We are seeking an accomplished Operations Coordinator to oversee the day-to-day activities of our support services and develop efficient administrative procedures.

JOB RESPONSIBILITY

  • Coordinating administrative systems, streamlining processes, and implementing improvements.
  • Evaluating staff performance, providing guidance, and ensuring maximum efficiency.
  • Managing inventory, purchasing supplies, and monitoring costs to optimize budget preparation.
  • Oversight of facilities services, maintenance activities, and external contractors.
  • Organizing office activities, including recycling, renovations, event planning, housekeeping, security, pantry management, and cleanliness standards.
  • Ensuring compliance with organizational policies and regulations.
  • Staying up-to-date with organizational changes and business developments.
  • Maintaining effective communication within the company to facilitate business operations.
  • Negotiating with vendors and travel agents for optimal pricing.
  • Managing employee calendars, arranging travel itineraries, and accommodations.
  • Vendor development and management, including selection, coordination, and delivery commitments.
  • Purchasing, reordering, and maintaining housekeeping supplies and other inventory.
  • Maintenance and upkeep of all office assets.
  • Analyzing expenses to ensure compliance with cost budgets.
  • Submitting monthly expense reports to senior authorities.
  • Implementing EHS and fire safety measures.

QUALIFICATION & SKILLSET

  • Ability to work independently with minimal supervision.
  • Excellent documentation skills using Microsoft Office applications.
  • Strong interpersonal skills, with excellent communication with clients, colleagues, and management.
  • Effective time management, prioritization, scheduling, and adaptability.
  • Exceptional oral and written communication skills.
  • Proven ability to work as part of a team, with strong administrative support expertise.
  • Good mailing communication and basic drafting skills.
  • Reliability and ability to perform well in challenging situations.
