As a key member of our facilities team, we are seeking a highly organized and detail-focused Facilities Management Specialist to oversee the delivery of exceptional soft services.

Job Summary:

This critical role ensures timely completion of tasks, maintains quality standards, and fosters collaboration with various teams and vendors. The ideal candidate will possess strong organizational skills, excellent communication and coordination abilities, proficiency in handling soft services and administrative tasks, and the ability to follow established policies and procedures.

Key Responsibilities:
  • Soft Services Management:
    • Coordinate housekeeping roster and deployment, addressing any penalties or comments for improvement.
    • Maintain open communication with the housekeeping duty manager or in-charge regarding TR/VIP visits.
    • Prioritize housekeeping issues with the team, ensuring actions are taken and tracked for closure.
    • Conduct regular facility walk-throughs to assess the quality of housekeeping services.
  • Vendor & Equipment Management:
    • Collaborate with the Facility Manager to review vendor performance matrices on a monthly basis.
    • Ensure the upkeep of pantry and reprographic equipment, taking necessary action as needed.
  • Administrative & Coordination:
    • Prepare and distribute weekly rosters for the Helpdesk, Front Office, and Mail Room in advance.
    • Document all communication in the Technical team/HK team log book to inform the next shift.
    • Regularly tour the facilities and document necessary actions.
    • Acknowledge and adhere to all company policies, processes, and procedures, as well as statutory documents.
    • Achieve SLA & KPI targets as agreed.
    • C coordinate with the Engineering team for issues requiring their assistance.
  • Space & Process Management:
    • Provide daily oversight of the Space Administration Office, resolving space-related issues.
    • Evaluate building and space uses, determining space allocations and assignments after consultation.
    • Create, coordinate, and facilitate business processes for maintaining accurate space information.

The successful candidate will have a proven track record of delivering high-quality results in a fast-paced environment. Strong problem-solving skills, attention to detail, and excellent communication skills are essential for this role.
