Job Description
As an Executive Support Specialist, you will be responsible for providing administrative support to the manager in conducting his day-to-day work.
The successful candidate will have a proven track record of working as a secretary or administrative assistant and will be proficient in Microsoft Office Suite and other office management tools.
Key Responsibilities:
- Answering phones and directing them to the correct person or department.
- Making appointments and keeping calendars for staff personnel.
- Organizing and managing physical and electronic files.
- Assisting with basic bookkeeping duties including invoicing and spending monitoring.
- Handling incoming and outgoing correspondence.
- Making travel arrangements and lodgings.
- Assisting with meeting and event planning, including agenda creation and minute taking.
- Performing general office chores like ordering supplies.
- Maintaining the secrecy of sensitive information.
Requirements and Skills
The ideal candidate will have excellent communication and interpersonal abilities, strong organization and multitasking skills, and the ability to prioritize tasks and operate effectively under duress.
They will also have flexibility and adaptability to shifting priorities and situations.
Education and Experience
The successful candidate will have at least 5 years of experience working as a secretary or administrative assistant and a bachelor's degree in any field.
