Senior Administrative Coordinator for Strategic Initiatives

This is a unique opportunity to join our team as a Senior Administrative Coordinator for Strategic Initiatives at the Gem & Jewellery Information Centre. As a key member of our executive support team, you will provide high-level administrative support to the Managing Director, ensuring the efficient operation of the executive office.
Key Responsibilities:- Administrative Support:
Manage complex calendars, schedule meetings, and arrange domestic and international travel arrangements for senior executives.
Prepare and edit confidential correspondence, reports, presentations, and other documents in MS Office Suite and business communication tools.
Maintain confidentiality and handle sensitive information with utmost discretion.
- Meeting Coordination:
Organize and coordinate internal and external meetings, events, and conferences.
Prepare agendas, take meeting minutes, and follow up on action items to ensure seamless execution.
- Project Management:
Assist in managing key business projects and initiatives from inception to completion.
Track project progress, deadlines, and deliverables to ensure timely completion.
- Communication & Liaison:
Serve as a liaison between senior executives and internal/external teams, clients, and stakeholders.
Maintain professional relationships with clients and team members through excellent communication skills.
- Data Management:
Maintain accurate and confidential records, files, and databases.
Conduct research and compile data for decision-making and presentations.
- Travel & Event Management:
Arrange detailed itineraries and accommodations for domestic and international travel.
Assist in planning company events, conferences, and team activities to enhance teamwork and productivity.
- Office Management Support:
Oversee office supplies and manage vendor relationships to ensure seamless operations.
Support in administrative tasks related to company operations to maintain efficiency and productivity.
- Bachelor's degree in Business Administration or related field.
- Proven experience as an Executive Assistant or in a similar role.
- Proficiency in MS Office Suite and business communication tools.
- Excellent organizational, time-management, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to work independently and maintain confidentiality.
$85,000 - $115,000 per annum, depending on qualifications and experience.
