Business Operations Coordinator

Manage the daily movement of vehicles, dispatch operations, and ensure smooth logistics processes.

  • Key Responsibilities:
    • Domestic Dispatch:
      • Coordinate with drivers to issue delivery orders based on customer requirements.
      • Ensure all checks are completed before vehicle entry, including product, quantity, contract, vehicle details, transportation, and safety.
      • Supervise the loading process and generate dispatch documents (GST invoices, e-way bills).
      • Communicate with stakeholders regarding dispatch status.
    • Export Dispatch:
      • Arrange export containers with transporters and communicate with marketing for planning.
      • Follow up with transporters for container stuffing and coordinate export documentation.
      • Resolving issues during container gate-in, collaborating with marketing, transporters, and the plant.
  • Pipeline Invoicing:
    • Generate invoices from pipeline reports and resolve queries related to these reports.
    • Send pipeline invoices to customers regularly and address any invoice-related issues.
  • Cross-Departmental Coordination:
    • Collaborate with marketing teams to manage material allocation, customer contracts, pricing, credit limits, and priority dispatch.
    • Communicate with customers, transporters, and drivers to resolve operational issues.
  • Document Management & Reporting:
    • Prepare and maintain dispatch documents, including GST invoices, e-way bills, delivery challans, and commercial/export invoices.
    • Compile periodic reports (export statements, chlorine & hydrogen licenses, MEIS claims) and maintain record-keeping compliance.
  • Compliance & Audit:
    • Handle documentation and correspondence with regulatory bodies.
    • Participate in internal audits, ISO, and safety compliance training.
  • Logistics & Incident Reporting:
    • Conduct incident investigations and report findings to relevant stakeholders.
    • Provide data for system integrations and participate in daily meetings for updates on logistics.
