Job Title: Billing and Invoicing SpecialistThe Role:We are seeking a highly organized and detail-oriented Billing and Invoicing Specialist to join our team. The successful candidate will be responsible for preparing invoice packages, routing them for review and approval, generating pass-through invoices in Oracle, creating PDF packages, and emailing or sending hard copies to clients.
Key Responsibilities:• Prepare invoice packages from consolidated monthly data files, including pivot tables and scanned image backups.• Route prepared invoice packages to Project Managers for review and approval.• Generate pass-through invoices in Oracle.• Create invoice PDF packages and save invoices, summaries, and backup scans to the designated drive.• Email PDF invoice packages to clients or send hard copies via Federal Express if originals are needed.• Update the Billing Repository after invoices are created, costs are checked, and invoice numbers are added.• Respond to invoice-related questions from operations or clients.• Generate investigator invoices in Oracle and send to clients.• Provide billing supervisors with details of corrections requiring journal preparation, such as project-to-project recodes or unrechargeable costs.• Update the Billing Repository for these changes.• Process credits and rebills as required.
Requirements:To succeed in this role, you will need:• Strong Excel skills at an intermediate level.• Experience working in a multi-currency environment.• Good organizational skills.• Ability to communicate effectively with colleagues and clients worldwide.• Attention to detail and accuracy.Desirable:• Experience using Oracle ERP systems.
