Employee Experience Coordinator Job Description

The ideal candidate will play a pivotal role in ensuring seamless onboarding and offboarding processes for US-based employees and contractors. Key responsibilities include:

  • Onboarding Support:
    • Assist in completing documentation, background checks, system access, and exit formalities in a timely and compliant manner.
  • Background Verification Coordination:
    • Collaborate with background verification vendors and internal teams to ensure accurate and timely completion of screenings.
  • Compliance Documentation:
    • Maintain accurate and up-to-date employee records, ensuring compliance-related documents (e.g., I-9, E-Verify, client-specific forms) are completed and stored per organizational and legal standards.
  • MSP & Client Portal Management:
    • Navigate and maintain documentation via various MSP portals (e.g., Fieldglass, Beeline), ensuring timely submission and status tracking of onboarding and compliance workflows.
  • SOP & Process Documentation:
    • Support the development and maintenance of standard operating procedures (SOPs) for key HR, onboarding, and compliance workflows.
  • Federal & Client-Specific Compliance:
    • Apply understanding of US federal employment regulations and client-specific guidelines to ensure process adherence across onboarding and documentation.
  • Asset Return Tracking:
    • Maintain trackers and coordinate return confirmations for client-issued equipment and assets as part of the offboarding process.
  • Client & Vendor Coordination:
    • Act as a point of contact for day-to-day communication with clients, vendors, and candidates regarding compliance, onboarding status, and documentation queries.
  • Audit Readiness Support:
    • Prepare and organize compliance records and documentation to support internal and client audits.
