As an Academic Program Coordinator, you will play a pivotal role in supporting students and parents throughout the application process.
This position combines personalized client support with strategic program oversight, requiring exceptional organization and adaptability in a dynamic environment.
- You will manage a portfolio of undergraduate and graduate applicants, guiding them through all stages of the application process – from profile building to essay development.
- Maintain regular communication with students and parents, updating internal trackers, monitoring deadlines, and coordinating with colleagues to ensure timely progress.
- Organization will be critical, as you will be expected to manage multiple timelines simultaneously and keep detailed, accurate records of each client's journey.
- Manage a portfolio of undergraduate and graduate clients, ensuring steady progress throughout the application cycle.
- Maintain regular communication with clients (including calls with students and parents) to provide updates, clarify next steps, and ensure timely task completion (essays, resumes, college lists, etc.).
- Coordinate with colleagues to align client timelines, goals, and deliverables.
- Support the team as needed, including helping with research, resume edits, draft reviews, or brainstorming sessions.
- Attend client meetings, document key points, and follow up with clear action items.
- Track all stages of the client journey, from onboarding to submission, ensuring deadlines are met.
- Oversee the design, delivery, and presentation of programs for school partnerships as well as undergraduate and graduate clients.
- Evaluate systems to monitor program performance and evaluate outcomes to ensure continuous improvement.
- Implement measures to ensure the effective and timely delivery of program content and services.
- Bachelor's degree in Education, English, Psychology, Business, Humanities, or a related field.
- Strong organizational and project management skills.
- Excellent written and verbal communication – clear, professional, and prompt.
- Quick learner with the ability to adapt, problem-solve, and stay composed in a fast-paced environment.
- Detail-oriented, accountable, and proactive in follow-through.
- Comfortable working independently and collaboratively.
- Familiarity with Google Workspace, Asana, or CRMs is a plus.
- Prior experience in client management, education consulting, or mentorship preferred.
