Our organization is seeking a highly skilled Investment Operations Specialist to provide administrative and operational support to our team. This role involves working closely with the NMTC Deal Lead to assist with transaction closings, managing shared communications, organizing compliance documentation, and ensuring timely reporting and data collection.
">- Support the NMTC Deal Lead in coordinating internal and external schedules, and organizing checklists to ensure smooth transactions.
- Manage deal folders, data rooms, and filing systems to maintain accurate and up-to-date documentation.
- Document transaction milestones for internal records.
Team Operations & Communications
- Monitor and manage the NMTC group email inbox, ensuring timely routing and responses to incoming requests.
- Organize reporting documents received from borrowers and store them in SharePoint according to established protocols.
- Schedule meetings and coordinate calendar invites for internal and external stakeholders.
- Assist with document drafting, including cover letters and basic templates.
- Participate in assessing policies and procedures to continually improve process efficiencies.
Compliance & Reporting
- Maintain Smartsheet for compliance deadlines, reporting periods, and process improvements.
- Collect and organize compliance documentation from project sponsors, including certificates, community impact reports, and financial statements.
- Follow up with project contacts on late or incomplete reporting to ensure timely submissions and maintain compliance with NMTC requirements.
- Assist with preparing annual investor and CDFI Fund reports.
Required Skills & Qualifications
- Excellent communication, organizational, and interpersonal skills.
- Bachelor's degree preferred, or equivalent work experience in finance, real estate, project management, nonprofit, or administrative support roles.
- Strong organizational skills with excellent attention to detail.
- An effective communicator able to be client-facing with a professional and responsive manner.
- Proficiency in Microsoft Office (especially Outlook, Excel, Smartsheet, and Word).
Preferred Qualifications
- Review and assist in underwriting proposed investments.
- Manage a portfolio of investments, including reviewing construction draw requests, assessing borrower performance, conducting outreach interviews, and corresponding with borrowers displaying signs of weakness and increased risk.
