Deputy Zone Operations Manager

Key Responsibilities:

• Monitor and manage the commercial function of a designated zone.
• Establish and track secondary transportation performance parameters across the zone on a monthly basis.
• Ensure 100% compliance with statutory regulations across the zone, including timely license renewals.
• Reconcile and monitor stock accounting in SAP/Physical on a monthly basis for the zone.
• Ensure timely dispatches of stocks/SKUs from depots and POD collections for all depots under the zone.
• Implement the Warehouse Management System in all warehouses according to issued guidelines.
• Monitor CFA agreements and ensure timely renewals; arrange approvals for remuneration revisions as needed for smooth operations.
• Coordinate new CFA appointments, surveying, short-listing, arranging approvals, and appointing candidates.
• Maintain statutory documents for CFAs to meet depot operational requirements.
• Handle CFA manpower issues and provide training on various commercial aspects, including scientific storage, loading/unloading operations, redressing, loose oil tracking, maximizing recovery of loose oil, timely transport of billed stocks, sales returns, RDM control, maintaining registers and reports.
• Select new godowns (permanent and temporary), finalize, and prepare WH agreements; arrange renewals/extensions as needed.
• Monitor adherence to security arrangements and safety measures in place for all godowns.
• Track throughput/effectiveness of each godown/depot/warehouse on a monthly basis across regions.
• Keep track of company assets available at each warehouse.
• Monitor loose oil status and arrange liquidation on a weekly/fortnightly/monthly basis in coordination with Sales In-charges.
• Ensure timely dispatch of invoices within 24 hours from billing time.
• Discuss stock ageing/slow-moving SKU issues with Cluster heads at various locations.
• Ensure separate reserved space is maintained for food and staple products in warehouses and prioritize staple product billing.
• Process cluster CF claims accurately and on time.
• Resolve Zonal In-charge and CBB leader issues immediately.
• Perform fast billing of orders across the zone in a timely manner.
• Prepare monthly Zonal Cost and MIS reports and present to HO Commercial by the 7th of the following month.
• Submit quarterly reports on Warehouse Cleanliness and Hygiene.
• Provide training to Depot Managers and ensure awareness of latest processes.
• Conduct training and feedback sessions with ZCI CBB Team Leaders.
• Submit weekly reports to HO Commercial on cluster activities and discuss/resolve critical issues.
• Generate monthly review reports on Warehouse Damages, Scrapping, Warehouse Utilization, CF Performance, Distributor Unloading Performance.
