Main Responsibilities:

As an Administrative Support Specialist at Accor, you will provide exceptional support to the General Manager, ensuring the smooth operation of the administrative functions. Your key responsibilities will include:

  • Providing administrative support to the General Manager, ensuring the implementation of hotel policies, standards, and procedures.
  • Typing, filing, and maintaining all private and confidential matters related to the department.
  • Setting up and maintaining a systematic and efficient filing system for both hardcopies and electronic data.
  • Preparing materials for meetings attended by the General Manager, including the Daily Operations Meeting, Executive Committee Meetings, and Departmental Meetings.
  • Preparing and circulating meeting minutes.
  • Answering telephone calls and providing information to callers, routing calls to the appropriate official and placing outgoing calls.
  • Making copies of correspondence and other printed matters.
  • Preparing outgoing mail.
  • Typing, taking dictation, and composing correspondence.
  • Maintaining the proper appearance of the office area.
  • Handling outgoing mail by courier.
  • Making and confirming appointments for the General Manager.

Customer Service:

You will also be responsible for providing assistance and support to internal customers in other departments as appropriate. This will include:

  • Handling all guest and internal customer complaints and inquiries in a courteous and efficient manner.
  • Maintaining positive guest and colleague interactions with good working relationships.
  • Greeting visitors, ascertaining the nature of their business, and directing them appropriately.

Other Duties:

You will be required to attend and contribute to all training sessions and meetings as necessary. You will also be expected to exercise responsible behavior at all times and positively represent the hotel team. Additionally, you will be responsible for maintaining strong, professional relationships with relevant representatives from competitor hotels, business partners, and other organizations.
