Job Title: Commercial Transaction Support Specialist

We are seeking an experienced Commercial Transaction Support Specialist to join our team. As a key member of our commercial property transactions group, you will play a vital role in supporting the smooth flow of transactions.

The ideal candidate will have strong organizational and detail-orientation skills, with excellent communication skills (written and verbal). They will be able to multitask, collaborate with teams, and work closely with Sales, Admin, IT Support, and Accounts for seamless transaction execution.

  • Main Responsibilities:
  • Prepare and process lease documents accurately and efficiently.
  • Maintain and update lease agreements, renewals, and amendments in a timely manner.
  • Track lease-related deadlines for effective follow-ups.

Data Management & Research:

  • Enter and update property and client data accurately and consistently.
  • Generate regular reports for internal use, highlighting key metrics and trends.
  • Ensure data consistency across platforms and systems.

Client & Tenancy Records:

  • Maintain up-to-date records of clients and tenants, including their preferences and requirements.
  • Communicate effectively with clients/tenants to verify details and address any concerns.

Presentation Support:

  • Prepare engaging presentations using PowerPoint/Google Slides, highlighting key features and benefits of properties.
  • Reflect property details and data in sales materials, ensuring accuracy and consistency.

Team Coordination:

  • Work closely with cross-functional teams, including Sales, Admin, IT Support, and Accounts, to ensure smooth transaction execution.

Requirements:

  • Strong organizational and detail-orientation skills.
  • Excellent communication skills (written and verbal).
  • Able to multitask and collaborate with teams.
  • Proficient in MS Office (Excel, PowerPoint, Word, Google Slides).

Education & Experience:

  • Bachelor's degree in Business, Commerce, or related field.
  • 2-3 years of experience in data management, coordination, or administrative support.
