Invoice Processing Specialist Job Description

We are seeking a highly skilled Invoice Processing Specialist to join our team. This role will involve reviewing and processing invoices, as well as providing resolutions for the invoices and releasing them for payment.

The successful candidate will have a good understanding of large ERP systems, preferably SAP, and knowledge of general accounting principles, regulatory standards, and compliance requirements. Experience in handling Procure to Pay business processes and vendor management is also preferred.

The key responsibilities of this role include:

  • Reviewing and processing invoices along with providing resolutions for the invoices and releasing them for payment.
  • Articulating and demonstrating basic Accounts Payable process concepts - 3 way match, PO, NON PO, GRN etc.
  • Able to understand the nuances of AP aspects.
  • Invoices processing - check Bill of Entry, PO and other details before posting.
  • Proficient in US Purchase Taxation.
  • Resolve all vendor queries and requests coming via emails / Tickets within the agreed SLA.
  • Review and validate basic essentials of valid invoice like supplier details, PO, bank account, invoice #, invoice date etc.
  • Maintain a tracker of exceptions and ensure Invoices / queries are balanced taking based on the exception tracker.
  • Maintain exception logs for process related exceptions as and when they occur for knowledge retention.
  • Independently perform transactional tasks which support the compliance, planning and execution of assigned processes.
  • Follow up with requisitions (via calls/ mails or tickets) to seek hold invoice as per the AP guideline.
  • Enforce the internal compliance policy and guideline established by the management on their daily operational activities.
  • Perform daily internal audit to ensure all Invoices / queries are balanced as per the guidelines.
