Invoice Specialist Role

Our organization is seeking a highly skilled Invoice Specialist to play a pivotal role in maintaining financial accuracy and precision. As an Invoice Specialist, you will be responsible for preparing and issuing invoices to customers in a timely and accurate manner.

Key Responsibilities:
  • Invoice Preparation: Prepare and issue invoices to customers ensuring all necessary details are included.
  • Timely Delivery: Meet invoice delivery deadlines to maintain good customer relationships.
  • Customer Portal Entry: Enter invoices into customer invoicing websites to ensure seamless communication.
  • Electronic Submission: Submit invoices via electronic data interchange to facilitate efficient processing.
  • Customer Specific Requirements: Understand key areas in invoicing specific to each customer to provide tailored services.
  • Invoice Accuracy Check: Verify each field on the invoice before submission to maintain high standards of quality.
  • Supporting Documentation: Ensure all necessary supporting documents are attached to invoices for easy reference.
  • System Update: Timely update invoice submission status in our system to maintain transparency.
  • Record Maintenance: Maintain accurate records of invoice submissions and customer invoicing processes for future reference.
  • Team Collaboration: Work closely with the payroll and invoicing team to optimize the invoice submission process.
  • Account Statements: Send out account statements to customers as required.
  • Reconciliation: Reconcile self-billed cases with customer-approved timesheets, resolving any discrepancies in billing or payment.
  • Rejections & Adjustments: Handle invoice rejections and credit/rebills efficiently.
  • Process Documentations: Develop and maintain standard operating procedures (SOPs) for the complete invoicing process, updating them as needed.
  • Platform Improvement: Continuously support the improvement of invoicing platforms to enhance efficiency.
  • Credit Control Support: Assist the credit control team in invoicing and collection of payments.
