Job Title: Executive Assistant to CEO

Job Summary: We are seeking a highly experienced and proactive Executive Assistant to provide comprehensive administrative support to senior executives. The ideal candidate will be adept at managing executive schedules, coordinating meetings, and handling sensitive information with discretion.

Key Responsibilities:

  • Act as the primary point of contact between the executive(s) and internal/external stakeholders.
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize reports, presentations, and documents for executive meetings.
  • Handle confidential information and communications with the utmost discretion.
  • Coordinate and follow up on executive projects and deadlines.
  • Liaise with department heads, clients, and other business contacts on behalf of the executive.
  • Assist in planning and organizing events, conferences, and meetings.
  • Conduct research and provide executive summaries on various topics as needed.
  • Oversee office administration tasks and manage special projects as assigned.
  • Anticipate the needs of the executive(s) and proactively address potential issues.

Required Skills and Qualifications:

  • Bachelor's degree in Business Administration or related field preferred.
  • 10 years of experience as an Executive Assistant supporting senior-level management or executives.
  • Strong knowledge of office management systems, procedures, and technologies (MS Office, Google Workspace, etc.).
  • Exceptional organizational and time management skills with a keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • Proactive problem-solving abilities and strong decision-making skills.
  • Experience in event planning and project management is a plus.

Preferred Qualifications:

  • Familiarity with travel booking and expense management systems.
  • Ability to work independently as well as collaboratively with cross-functional teams.
