We are seeking a skilled Program Management Specialist. As a key member of our team, the successful candidate will play a critical role in enabling and managing oversight of all programs and initiatives.

The ideal candidate will drive a combination of strategic and operational programs necessary for growth and performance management. This includes overseeing program governance, creating and maintaining dashboards, and managing administrative tasks.

This role requires an agile operating model, with an execution mindset and structured cadence within and across functions. The specialist will ensure the smooth operation of our roadmap and programs by establishing and enforcing governance frameworks, developing insightful dashboards, and managing essential administrative tasks.

To be successful, the candidate will have 8 to 10 years of experience, with at least 5 years in a position managing cross-functional teams. They will possess systems and process orientation, problem-solving skills, and strong proficiency in creating and managing dashboards using tools like Tableau, Power BI, and Excel.

They will also have excellent organizational skills, attention to detail, and strong written and verbal communication skills. Additionally, they will be able to work independently and as part of a team, with proficiency in Office productivity tools and experience with project management software.

Key Responsibilities:

  • Developing, implementing, and maintaining program governance frameworks, policies, and procedures.
  • Establishing and managing reporting structures, including regular status updates, risk assessments, and issue tracking.
  • Facilitating program governance meetings, ensuring clear agendas, documented minutes, and effective follow-up on action items.
  • Managing and maintaining program documentation repositories, ensuring information is accurate, accessible, and up-to-date.
  • Designing, developing, and maintaining dashboards and reports to visualize key performance indicators (KPIs), progress against goals, and potential risks.
  • Collaborating with leads/stakeholders to identify reporting needs and translate them into effective dashboard solutions.
  • Providing regular and ad-hoc reports to leadership and stakeholders on performance and initiatives, status, risks, and issues.
  • Managing program-related administrative tasks, including scheduling meetings, managing calendars, and coordinating logistics.
  • Supporting the onboarding and offboarding processes for team members.
  • Processing invoices, tracking budgets, and assisting with financial reporting as needed.
  • Assisting with the creation of presentations and reports for internal consumption and external stakeholders.
