Accounting Specialist Position

The role of an Accounting Specialist involves handling various aspects of accounts payable, ensuring timely and accurate payment to vendors. Key responsibilities include invoice processing, vendor management, reconciliations & reporting, and process improvement.

Key Responsibilities:
  • Invoice Processing
  • Review, verify, and process vendor invoices in accordance with company policies and procedures, ensuring proper GL coding and approvals before entry.
  • Match purchase orders, goods receipt notes, and invoices for 3-way matching, resolving discrepancies with vendors and internal departments.
  • Prepare and process payments (cheques, bank transfers, ACH, etc.) on scheduled payment cycles, ensuring timely payment to vendors.
  • Vendor Management
  • Maintain and update vendor master data, reconcile vendor accounts, and respond to vendor inquiries promptly, monitoring aging reports and following up on outstanding items.
  • Reconciliations & Reporting
  • Perform monthly AP reconciliations, assist with month-end closing activities, and prepare accounts payable reports, supporting audits (internal and external).
  • Assist in maintaining compliance with internal controls and accounting standards, ensuring adherence to regulatory requirements.
Required Skills and Qualifications:
  • Education
  • Bachelor's degree in Accounting, Finance, or Commerce.
  • Experience
  • 2–4 years of experience in accounts payable or general accounting.
  • Skills
  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks, or similar ERP)
  • Strong Excel skills (pivot tables, VLOOKUP, etc.)
  • Knowledge of basic accounting principles and AP processes
  • Good communication and interpersonal skills
  • High attention to detail and accuracy
