
Senior Document Control Specialist

Key Responsibilities:
- We lead a team that specializes in the management and control of documents.
- We manage day-to-day document distribution, storage, and retrieval processes.
- We advise on effective document numbering systems and implement them accordingly.
- We maintain project-level revision control and status protocols to ensure transparency and efficiency.
- We oversee the implementation and management of Master and Task Information Delivery Plans (MIDP/TIDP).
- We work closely with teams to co-author and maintain internal and external distribution lists/workflow groups.
- We conduct quality assurance and quality control checks on documents and drawings.
- We verify issued documents against MIDP/TIDP requirements to ensure compliance.
- We oversee the issuing, transmitting, and auditing of files to prevent errors and discrepancies.
- We manage incoming external documentation, emails, and notifications to stay updated and informed.
- We provide awareness training for CDE platforms to team members to enhance their skills and knowledge.
- We identify documents/drawings requiring comments and notify teams to facilitate collaboration and improvement.
- We track RFIs, Early Warning Notices (EWNs), and responses; generate progress reports to monitor project performance.
- We conduct full project documentation audits to ensure accuracy and completeness.
Required Experience and Skills:
- A Bachelor's degree in a relevant field such as engineering or construction.
- A minimum of 8 years of experience in document control in engineering and construction projects.
- Experience working on international projects with diverse teams and stakeholders.
- Fluent English language skills with strong cross-time-zone communication abilities.
Desirable Skills and Qualifications:
- Expertise with Electronic Document Management Systems (EDMS) particularly Autodesk Construction Cloud, Conject, 4Projects, Asite, Aconex.
- Familiarity with design and construction documentation including metadata management.
- Exceptional attention to detail and accuracy in document handling and processing.
- Knowledge of document control processes, approval workflows, and version control.
- Advanced Microsoft Office skills particularly Excel.
- Proficiency in SharePoint for document collaboration and storage.
- Records management understanding and compliance awareness.
- Strong organizational and multi-project management skills.
- Effective communication skills across international teams.
- Proactive attitude, independence, and initiative to drive results and achieve goals.
