We are seeking an exceptional Executive Support Professional to provide high-level support to the Chairperson and Chief Mentor at Indira Group of Institutes, Pune. The ideal candidate will have a strong educational background, extensive experience in executive assistance, and excellent communication skills.

Main Responsibilities:

  • Administrative Support
    • Manage the Chairperson's schedule, appointments, and meetings, ensuring seamless day-to-day operations.
    • Coordinate travel arrangements, including flights, hotels, and itineraries.
    • Handle emails, calls, and correspondence, prioritizing urgent matters.
    • Maintain confidential records and documents.
  • Meeting Coordination & Documentation
    • Prepare meeting agendas, minutes, and action items for board meetings, executive meetings, and external engagements.
    • Ensure timely follow-ups on decisions and action points.
    • Conduct research and compile briefing notes before meetings.
  • Communication & Stakeholder Management
    • Act as the point of contact between the Chairperson and internal/external stakeholders.
    • Draft letters, reports, presentations, and business proposals.
    • Facilitate communication with board members, investors, government officials, and senior executives.
  • Event Planning & Protocol
    • Plan and coordinate corporate events, leadership summits, and networking functions.
    • Ensure proper protocol and etiquette in high-level meetings.
  • Miscellaneous
    • Provide flexibility to support critical tasks at short notice.
    • Research and compile relevant information for the Chairperson's decision-making process.
    • Perform other duties as part of the existing EA role.

Requirements:

  • Education & Experience
    • Masters degree in business administration, management, or a related field.
    • 10+ years of experience as an Executive Assistant, Chief of Staff, or in a similar role supporting C-suite executives.
  • Skills & Competencies
    • Strong organizational and multitasking skills to handle multiple priorities efficiently.
    • Excellent written and verbal communication skills.
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and calendar management tools.
    • Meticulous approach to ensure accuracy in all tasks.
    • Ability to anticipate needs and take action without constant supervision.
    • Possess a polished and professional demeanor in all interactions.
    • Ability to handle confidential information with discretion.
    • Strong problem-solving and decision-making skills.
    • Flexibility and adaptability in a fast-paced executive environment.
    • Willingsness to travel with the Chairperson and Chief Mentor for various assignments nationally and internationally.
