About the Role:

This challenging position involves reviewing and processing timesheets for specific regions or clients with precision and timeliness, adhering to client-specific requirements and deadlines. Key responsibilities include:

  • Timesheet Verification: Thoroughly review timesheets submitted on a weekly, fortnightly, or monthly basis, verifying hours worked, leave taken, and overtime for accuracy and compliance.
  • Mailbox Management: Effectively manage the payroll department's mailbox, ensuring timely responses to queries, organizing incoming timesheets and documents, and maintaining a clean communication flow.
  • Data Integrity: Carefully double-check all data entries for inconsistencies or errors, spotting discrepancies and ensuring payroll data is accurate before processing.
  • Error-Free Processing: Maintain flawless records by accurately saving timesheets and updating Excel trackers, cross-verifying data, and ensuring all files are organized and up-to-date.
  • Special Instructions: Identify and communicate special payroll instructions, such as adjustments, bonuses, or deductions, to the payroll team for correct application during processing.
  • Invoice Support: Assist in preparing supporting documentation for client invoices, ensuring necessary timesheet and payroll data is available and correctly formatted for billing purposes.
  • Record Maintenance: Update and maintain payroll records, ensuring they are complete, accurate, and stored securely for future reference and audits.
  • Confidentiality: Handle sensitive employee information, maintaining strict confidentiality and following data protection protocols to safeguard payroll data.
  • Team Collaboration: Work closely with team members to meet deadlines and support shared goals, contributing to smooth payroll operations and a positive team environment.
  • Process Improvement: Follow internal policies and procedures related to payroll processing, suggesting improvements to enhance efficiency and accuracy.
  • Report Assistance: Support the Payroll Supervisor by preparing and updating various reports, contributing to informed decision-making.

Required Skills and Qualifications:

  • Experience: 1-2 years of experience in payroll processing or a similar corporate role, with a solid understanding of payroll cycles and administrative processes.
  • Analytical Skills: Analyze data, identify inconsistencies, and resolve issues efficiently, using strong problem-solving skills to handle payroll discrepancies and ensure accuracy.
  • Attention to Detail: Be meticulous in reviewing data, spotting errors, and ensuring records are accurate and compliant with regulations.
  • Communication: Possess strong verbal and written communication skills for interacting with team members, responding to queries, and documenting processes clearly and professionally.
  • Tech Savvy: Proficient in Microsoft Excel, including functions like VLOOKUP, pivot tables, and data validation. Familiarity with payroll software or ERP systems is a strong advantage.
  • Collaboration: Comfortable working in a collaborative environment, supporting colleagues, and contributing to a positive and productive team culture.
  • Integrity: Demonstrate integrity and discretion when handling sensitive payroll and employee information, ensuring compliance with data privacy standards.
