Duty Manager Lead

Key Responsibilities:
- Develops and implements operational strategies to prioritize, organize, and accomplish daily tasks.
- Assists the Front Office Manager in planning and implementing the annual plan using the TBEM framework, ensuring alignment with departmental objectives and overall hotel strategy.
- Ensures daily performance and manages revenue through revenue and yield management techniques, focusing on generating incremental revenue through Early Check-in and Late Check-outs.
- Encourages team members to cross-sell hotel services, such as Spa, Restaurants, and Travel Services.
- Monitors the business of competitor hotels in terms of new accounts and rates.
- Maintains the Log Book and effectively follows up on the system to check the daily arrival list and monitors all VIP movements.
- Monitors adherence to all policies and procedures to reduce bad debts and rebates.
- Coordinates with Security and Housekeeping departments to ensure compliance with hotel security, hygiene, and aesthetic standards.
- Prepares reports on Occupancy, Average rates, and Reservations.
- Maintains the Guest History System and updates all guest profiles.
- Ensures adherence to operational standards for all processes.
- Responds to and handles guest problems and complaints.
- Staffs and schedules shifts, allocating duties as needed.
- Facilitates learning and development for team members.
- Establishes and maintains open, collaborative relationships with associates.
- Prepares department duty rosters and approves leave in consultation with the department head.
- Ensures regular communication with associates to create awareness of business objectives.
- Communicates expectations, recognizes performance, and produces desired results with associates.
- Assists the Front Office Manager in creating a culture of recognition through the STARS program.
- Assists department heads in reviewing audit findings and takes corrective measures to ensure compliance.
- Conducts internal audit checklists according to IHCL Safety Guidelines.
- Adheres to all departmental legal compliances and ensures team members follow the same.
- Ensures statutory requirements for in-house guests are met.
- Assists department heads in identifying risks and develops HIRA.
- Assists department heads in adhering to safety roles and responsibilities according to PCM and IMBC SOPs.
Key Requirements:
- Advertises all vacancies on the internal job portal.
- Ensures timely disbursement of offer/intent letters, pre-employment formalities, appointment, confirmation, role enhancement letters to employees.
- Assists the Human resources team in identifying strategies to retain talent and minimize attrition, especially frontline employees.
- Assists the Human resources head in identifying and developing strategies to increase gender diversity and attain targets communicated.
- Ensures employee entry and exit formalities are followed according to laid-down processes.
- Adheres to contractor/vendor management provisions according to guidelines specified.
- Follows up and ensures contractors submit monthly invoices with relevant supportings for payment of dues.
- Verifies invoices related to monthly payments to contractors and puts them up to the HR head for approval.
- Ensures contractors' compliance with statutes such as Provident Fund, Employees State Insurance, Contract Labour, Regulation and Abolition Act, Payment of Bonus Act, Payment of Wages Act, Payment of Gratuity Act, etc.
- Ensures contractors provide additional manpower during business exigencies.
- Adheres to provisions laid out in the benefits manual and staff policies and procedures manual/handbook.
- Administers attendance, leave, and other related reimbursement activities in a timely manner.
- Assists the HR team in administering disciplinary procedures according to statute or provisions of the standing orders in case of misconduct, acts of negligence, acts of moral turpitude, etc.
- Adheres to various provisions under various statutory legislations such as Employees Provident Fund Act, Employees State Insurance Act, Payment of Wages Act, Industrial Dispute Act, Contract Labour Regulation and Abolition Act, Payment of Bonus Act, Payment of Gratuity Act, Shops and Commercial Establishments Act, Prevention, Prohibition & Redressal of Sexual Harassment at Work Place Act, etc.
- Updates the status on adherence to various statutory legislations in the Legatrix application along with supporting documents.
- Updates all relevant information related to employees on the notice board, e-screens, etc.
- Assists the HR team in conducting various employment engagement/joy @ work activities to maintain an energized workforce and employee well-being.
- Follows up on any other reward and recognition program as per practice at the hotel level.
- Liaises with various NGOs to volunteer in various CSR activities as per the hotel CSR plan.
- Participates in Tata Volunteering Week/Month initiative.
- Adheres to affirmative action (AA) plan.
- Administers various employee-related facilities such as Staff Dining, Staff Accommodation, Ladies' Night Drop, Day Care centre, Lockers, and restrooms according to laid-down standards.
- Adheres to all roles and responsibilities related to safety as defined by the hotel from time to time.
