Job Description

We seek an experienced Facilities Manager to oversee our office infrastructure and daily operations. As a key member of our team, you will be responsible for ensuring the smooth functioning of our facilities, maintaining compliance with regulatory requirements, and promoting a safe working environment.

Key Responsibilities:

  • Maintain and manage electricity, water, air conditioning, ventilation, internet, CCTV, printers, fire safety, and other office utilities.
  • Ensure preventive maintenance, quick breakdown resolution, and vendor Service Level Agreement (SLA) compliance.

Daily Office Operations:

  • Oversee housekeeping, pantry management, stationery supplies, front desk operations, security, and visitor management.
  • Monitor hygiene standards, consumables, and office cleanliness.

People & Access Management:

  • Onboard new employees by setting up their desks, issuing ID/access cards, and providing basic kits.
  • Manage exits, asset returns, access deactivation, and clearances.
  • Track attendance, late entries, and exceptions.

Vendors, Leases & Projects:

  • Maintain a reliable vendor bench, negotiate costs, track Annual Maintenance Contracts (AMCs), and monitor service quality.
  • Coordinate lease agreements, office fit-outs, repairs, and landlord escalations.

Bills, Cash & Records:

  • Verify bills, reconcile petty cash, maintain records for leases, insurance, licenses, and safety certificates.

Compliance & Safety:

  • Keep updated No Objection Certificates (NOCs), insurance, safety certificates, and first-aid kits.

Reporting & KPIs:

  • Prepare monthly Management Information System (MIS): spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes.
  • Track Key Performance Indicators (KPIs): utility uptime, hygiene audit scores, ticket closure times, and budget adherence.

After-Hours Readiness:

  • Ensure late-shift office readiness and provide on-call support for urgent issues.

Requirements:

  • Minimum 10 years of experience in facilities or office administration with stable tenure and clean references.
  • Hands-on experience with utilities, IT/office infrastructure, vendors, and housekeeping.
  • Strong negotiation, documentation, and Excel/email skills.
  • Trustworthiness with keys, cash, and confidential information.
