Administrative Assistant for Healthcare Clinic

We are seeking an organized and articulate professional to provide essential administrative and patient support for a U.S.-based physical and rehabilitation medicine clinic.

This is a full-time, remote position that requires excellent communication skills, attention to detail, and the ability to work independently. You will be the first point of contact for patients, therapists, and staff, managing the day-to-day operations of the front office remotely.

Key Responsibilities:
  • Financial & Administrative Support: Collaborate with the billing team on insurance verification, billing, and session authorizations. Educate patients on their insurance benefits and handle co-pay collection.
  • Scheduling & Coordination: Manage patient appointments, assist with transportation arrangements, and coordinate with home care schedulers.
  • Patient Management: Assist clinic therapists, monitor patient evaluations, and track patient discharge lists. Proactively address patient no-shows and cancellations to ensure continuity of care.

To be successful in this role, you must have at least one year of experience in administrative and medical office roles, specifically with scheduling. Proficiency in Electronic Medical Records (EMR) systems such as Epic, AthenaHealth, or WebPT is required. Experience with Microsoft Office (Word, Excel) and Google Applications (Sheets, Docs, Calendar) is a plus.

Requirements:
  • Experience: Minimum of one (1) year of experience in administrative and medical office roles, specifically with scheduling.
  • Communication: Excellent verbal and written communication skills with a clear, neutral accent.
  • Software Proficiency: Experience with EMR systems such as Epic, AthenaHealth, or WebPT is required.
  • Work Hours: Availability to work from Monday to Thursday, 5:30 PM to 6:30 AM IST, and Friday, 5:30 PM to 4:30 AM IST.
