Job Overview

The primary role of the Executive Assistant is to provide high-level administrative and operational support to senior management, serving as a key point of contact and facilitating effective management of daily activities, communications, and priorities.

This position requires exceptional organizational skills, strong communication abilities, and a high level of professionalism. The successful candidate will be responsible for coordinating meetings, scheduling appointments, and preparing correspondence, reports, and presentations as needed.

Key Responsibilities:
  • Calendar Management: Manage senior management's calendar, coordinate meetings, appointments, and travel arrangements, prioritize and schedule based on importance and urgency.
  • Communication and Correspondence: Act as the primary point of contact, handle incoming calls, emails, and inquiries, draft and prepare correspondence, reports, and presentations as requested.
  • Information and Data Management: Collect, organize, and maintain confidential and sensitive information, records, and files, ensure proper filing and retrieval of important documents.
  • Meeting and Event Coordination: Coordinate and make arrangements for meetings, conferences, and events, prepare agendas, distribute materials, and take minutes during meetings as required.
  • Travel Arrangements: Coordinate and make travel arrangements for senior management, including flights, accommodations, and ground transportation, prepare travel itineraries, and coordinate with relevant stakeholders for seamless travel experiences.
  • Project and Task Management: Assist in managing and tracking various projects, initiatives, and tasks, coordinate with cross-functional teams and stakeholders to ensure timely completion of projects, provide administrative support and follow-up on action items as needed.
Qualifications and Requirements:
  • Bachelor's degree or equivalent work experience.
  • Minimum 5-9 years of experience as an Executive Assistant or in a similar administrative role.
  • Excellent written and verbal communication skills, strong organizational and time-management abilities.
  • Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Exceptional attention to detail and problem-solving skills.
  • Discrete, professional, and able to maintain confidentiality.
  • Excellent interpersonal skills.
