Job Role

This role is centered around providing exceptional support to the Compliance Function. The successful candidate will be responsible for ensuring seamless coordination, maintenance, and documentation of compliance activities across the organization.

Key Responsibilities:
  • Compliance Coordination
    • The ideal candidate will assist the Head of Compliance in managing day-to-day compliance obligations. This includes maintaining accurate records of data processing activities, data breaches, and subject rights requests.
    • They will also monitor deadlines and ensure timely submission of statutory returns or compliance actions.
  • Documentation & Records Management
    • Maintaining up-to-date records of policy reviews and updates is crucial. The candidate will also support in drafting, formatting, and publishing internal policies and procedures.
  • Data Protection Administration
    • Handling Data Subject Access Requests (DSARs) is a key aspect of this role. The candidate will also log and escalate privacy concerns to the Compliance Head as necessary.
  • Reporting & Audit Preparation
    • Collating documentation and evidence for internal and external audits or inspections is a critical task. The candidate will generate monthly and quarterly compliance status reports and dashboards for internal use.
  • Staff Training & Awareness
    • Monitoring completion rates of mandatory compliance training is essential. The candidate will provide administrative support for scheduling and tracking training, webinars, and briefings.
  • Cross-Departmental Liaison
    • Effective communication with departments such as IT, Registry, HR, Academic Governance, and Marketing is vital. The candidate will coordinate with these departments to gather compliance inputs and support communication of new policies, updates, or alerts.
    Essential Qualifications and Experience
    • At least 5 years of experience in an administrative or compliance support role.
    • Excellent organizational skills with attention to detail and record-keeping are essential.
    • Strong written and verbal communication skills are required.
    • Familiarity with data protection principles under UK GDPR is necessary.
    • Proficiency in using Microsoft Office (Word, Excel, Outlook, Teams) is expected.
    • Understanding of cybersecurity risks and controls is crucial, including breach notification procedures and secure data handling.
    • Previous experience in a higher education institution or public sector is highly valued.
    • Awareness of regulatory frameworks, such as Office for Students (OfS), is desirable.

    • Works closely with: Compliance, Registry, HR, IT, Academic Quality Team etc.
