Job Title: Operations Coordinator

The Operations Coordinator is responsible for overseeing daily administrative operations, ensuring efficient and effective support to enable other business functions.

Key Responsibilities:

  • Streamline administrative procedures and systems to enhance productivity
  • Assess and coach administrative staff to optimize performance
  • Manage office supplies and purchasing with budgetary considerations
  • Oversee facilities services, maintenance activities, and tradespersons
  • Organize and supervise other office activities, including recycling, renovations, and event planning
  • Ensure cleanliness, security, and housekeeping standards are met
  • Adhere to policies and regulations, staying informed about organizational changes and developments
  • Facilitate information flow within the company to support other business operations
  • Negotiate with vendors and travel agents for best prices
  • Manage calendars, arrange travel itineraries and accommodations
  • Develop and manage vendor relationships and inventory
  • Maintain office assets and perform regular upkeep
  • Manage Annual Maintenance Contracts (AMCs)
  • Build and maintain relations with government bodies and police officials
  • Track expenses to ensure cost compliance
  • Submit monthly reports on administration expenses

Requirements:

  • Ability to work independently with minimal supervision
  • Excellent documentation skills using Microsoft Office
  • Strong interpersonal and communication skills
  • Good time management, prioritization, and adaptability
  • Excellent oral and written communication skills
  • Strong team player with knowledge of admin support services
  • Good mailing and drafting skills
  • Proactive and reliable individual able to perform well in challenging situations
