Administrative Coordinator

Role Overview:Seeking a highly detail-oriented and organized professional to support the Accounts Receivable and Credit departments in Washington State, USA. This role is ideal for someone with expertise in AR, excellent communication skills, and the ability to work independently while collaborating remotely with a U.S.-based team.Key Responsibilities:Timely Deposit Processing:Post customer payments accurately to accounts, allocating timely discounts and credits.Ensure proper allocation of funds across various payment channels (e.g., ACH, checks, wire transfers).Customer Account Reconciliation:Reconcile customer balances and investigate payment discrepancies.Reconcile cash customer sales orders with AR accounts.Record pre-payments and subsequent invoices.Prepare documentation for customer refunds.Credit Department Support:Respond to internal and external requests for invoice copies, statements or payment confirmations.Assist in compiling documentation to support credit evaluations or account reviews.Research/updating contractor licenses and resale permits.Required Skills and Qualifications:Expertise in Accounts ReceivableFamiliarity with AR automation tools or accounting platforms (we use Oracle EBS)Understanding of credit and collections processesStrong attention to detail and organizational skillsProficiency with Microsoft ExcelExcellent written and verbal communication skills in EnglishReliable internet connection and ability to work independently in a remote settingComfortable working early morning hours to align with U.S. Pacific Time ZoneExperience working with international teams, especially in a U.S. business environmentAdditional Information:Schedule:Winter: Monday to FridaySummer: Tuesday to SaturdayWorking Hours: 6:00 AM – 2:30 PM Pacific Time (PST/PDT), aligned with U.S. Daylight Savings Time
