Position Overview:

Mactriq Technologies is seeking a proactive and skilled Executive Assistant to support senior leadership and ensure the efficient operation of the office. The ideal candidate will have strong communication skills, a keen eye for detail, and the ability to manage multiple priorities seamlessly. This role offers a chance to contribute to strategic planning and operational support while working closely with senior management.


Key Responsibilities:

1. Administrative Support:

  • Assist senior leadership with day-to-day administrative needs, including scheduling meetings, managing calendars, and organizing travel arrangements.
  • Handle confidential and sensitive information with discretion.

2. Documentation and Reporting:

  • Prepare and review reports, memos, and presentations for internal and external communications.
  • Maintain and organize files, documents, and databases to ensure easy retrieval.

3. Communication:

  • Act as the point of contact for internal and external stakeholders, facilitating smooth  communication.
  • Draft and respond to emails and correspondence on behalf of the leadership.

4. Meeting Coordination:

  • Schedule and coordinate meetings, prepare agendas, take minutes, and follow up on action items.
  • Ensure meeting rooms and logistics are prepared in advance.

5. Project Assistance:

  • Assist in tracking key projects, monitoring progress, and reporting updates.
  • Work collaboratively with other departments to achieve business objectives.

6. Office Management:

  • Oversee office supplies and manage procurement processes.
  • Ensure a well-maintained and organized office environment.


Qualifications:

• Bachelor's degree or relevant professional qualification.

• 1-2 years of experience in an executive assistant role or similar administrative Role.

• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Exceptional organizational and multitasking skills.

• Excellent written and verbal communication.

• Ability to work independently and handle multiple tasks simultaneously.

• High level of integrity and professionalism.
