Job Title Senior Office Administration - Anand Location- US shift Location Anand Gujarat - On-site Reports To Head of Operations Office Head Key Responsibilities Oversee day-to-day office administrative operations ensuring smooth functioning of the facility services and support functions Manage facility services including housekeeping security utilities vendor contracts maintenance and asset management Maintain and monitor office supplies equipment furniture and ensure timely procurement and stock-replenishment Coordinate and manage reception front-desk visitor access mail courier handling meeting room bookings and office events Supervise administrative team office assistants reception facility staff including hiring performance monitoring scheduling and training Maintain accurate records of office assets equipment AMC contracts licenses statutory compliance and vendor agreements Liaise with vendors for services cleaning security cafeteria landscaping repairs and negotiate contracts track service levels and budgets Plan and monitor the administrative budget control costs and identify efficiencies or improvements in processes Ensure health safety security and compliance fire safety building regulations statutory labour laws in the office environment Work cross-functionally with HR IT Finance and other departments to ensure that onboarding offboarding processes workspace setups and infrastructure support align with company requirements Assist with special projects as assigned office relocation upgrades workplace optimisation sustainability initiatives Required Skills Experience Bachelor s degree in Business Administration Facilities Management or related field Minimum 5-7 years of experience in senior office administration facilities operations role preferably in an office setting in India Proven experience managing office facilities vendor contracts assets and budgets Strong organisational multitasking and prioritisation skills - comfortable handling multiple functions and stakeholders Excellent communication skills verbal written in English and Gujarati Hindi advantage Proficiency with MS Office Word Excel PowerPoint and experience tracking assets vendors budgets Strong leadership capabilities able to supervise motivate and develop a small team Good negotiation skills and vendor management experience High level of integrity professionalism confidentiality and discretion Desirable Experience setting up or managing offices for IT BPO KPO companies Knowledge of workplace safety regulations compliance frameworks facility management best practices Experience with night-shift operations or US shift support if applicable Prior exposure to campus multi-floor office facility management Working Hours Shift US shift 6 30 pm to 3 30 am- office hours Monday to Friday Flexibility required for occasional after-hours tasks office events or facility emergencies Compensation Competitive salary commensurate with experience Benefits as per company policy medical insurance PF gratuity etc Why Join Joining vTech Solution at their Anand office gives you the chance to operate in a dynamic growing environment You ll lead functions that directly impact the workplace experience for many staff collaborating across teams and adding tangible value If you re proactive operationally savvy and enjoy creating an efficient and pleasant office ecosystem this role is for you Job Types Full-time Permanent Pay 25 000 00 - 60 000 00 per month Benefits Health insurance Leave encashment Paid sick time Paid time off Work Location In person
