Job Title: Assistant Manager Order Management
Location: Mumbai
Department: Supply Chain Management (SCM)
Reports To: Manager Supply Chain
Position Summary:
The Assistant Manager Order Management will be responsible for end-to-end logistics operations including purchase coordination, inbound shipment tracking, customs clearance, GRN in the AX system, and documentation for payment processing. This role demands strong coordination with suppliers, internal departments, and external agencies to ensure timely and compliant material movement.
Key Responsibilities:
Order Management & Stock Transfers
- Identify and delete pending sales orders that are no longer valid, coordinating with the sales team to prevent discrepancies.
- Facilitate stock transfers between locations as required, ensuring proper documentation and system updates.
Sales Returns & Credit Note Management
- Issue credit notes for sales returns, ensuring accurate linkage to original invoices and compliance with GST regulations.
- Coordinate with the retail billing team to process and close sales return transactions efficiently.
Export Documentation & Billing
- Generate Proforma Invoices (PI) and final invoices for export orders, adhering to international trade and tax compliance standards.
Inventory Reporting & Coordination
- Compile and distribute comprehensive stock reports across all Pan-India locations to relevant stakeholders.
- Collaborate with warehouse teams to ensure timely Goods Receipt Note (GRN) processing and accurate stock reconciliation.
GST Compliance & Reporting
- Prepare detailed reports for GST purposes, including original invoice details and corresponding credit notes, ensuring accurate tax adjustments.
Cross-Functional Collaboration
- Liaise with sales and finance teams to ensure seamless operations and resolve any billing or order-related issues.
Additional Responsibilities
- Undertake special tasks and projects as assigned by the Manager, demonstrating flexibility and commitment to organizational goals.
Skills & Competencies:
- Hands-on experience with ERP systems (preferably Microsoft Dynamics AX or similar).
- Proficiency in Microsoft Excel for reporting and analysis.
- In-depth knowledge of customs clearance procedures and understanding of HS codes.
- Strong coordination and communication skills to work across teams and with external partners.
- Attention to detail, process discipline, and a proactive approach to problem-solving.
Education & Experience:
- Bachelor's degree in supply chain, Commerce, or a related field.
- 46 years of relevant experience in logistics and supply chain operations, including customs handling.
