Role Overview

We are looking for a detail-oriented Operations Associate based in India to work remotely and support the CEO in daily business operations. This role requires excellent organizational skills, ability to prioritize, strong communication, and a proactive approach to managing both routine and ad-hoc tasks across finance, HR, recruiting, and client engagement.

Key Responsibilities

Finance & Accounting

- Send invoices to customers and follow up on accounts receivable.
- Manage accounts payable follow-ups and vendor payments.
- Run QuickBooks Online payroll.
- Reconcile bank statements and verify bank charges.
- Identify and cancel unwanted subscriptions.

HR & Compliance

- Collect employee timesheets, I-9s, W-9s, and other compliance documents.
- Work with insurance agents to maintain company insurance (WC, GL, E&O).
- Ensure all required insurance and compliance documentation is up to date.

Recruitment Operations

- Conduct daily stand-up calls with LATAM and India recruiting teams.
- Prioritize job openings and allocate resources.
- Create MSAs (Master Service Agreements) and POs for new hires and supplier partnerships.

Business Development & Marketing

- Reach out to new clients and respond to new client inquiries.
- Support preparation of proposals, MSAs, and POs for clients.
- Co-create business brochures and social media content.
- Assist with advertising campaigns on social media platforms.

Coordination & Stakeholder Management

- Liaise with CPA for bookkeeping, tax filings, and compliance.
- Collaborate with internal and external stakeholders (vendors, suppliers, recruiters, clients).
- Support CEO with administrative and operational tasks as required.

Qualifications

- Bachelor's degree in Business Administration, Accounting, Finance, HR, or related field.
- 3–5 years of experience in operations, finance, HR coordination, or executive support.
- Proficiency with QuickBooks Online and MS Office (Excel, Word, PowerPoint).
- Experience handling invoices, payroll, and bank reconciliations.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills in English.
- Comfortable working in PST time zone.

Preferred Skills

- Experience in IT staffing/consulting environment.
- Knowledge of U.S. compliance documents (I-9, W-9, insurance certificates).
- Familiarity with social media marketing tools.
- Prior exposure to working with cross-border teams (India, LATAM, U.S.).
