Position Administrative Assistant Reports to Chief Operating Officer COO Position Summary We are looking for a dynamic responsible Administrative Assistant to perform a variety of administrative and clerical tasks Duties of the Administrative Assistant include providing support to our Directors CEO COO assisting in daily office needs and managing our company s general administrative activities To be successful as an administrative assistant candidates should be professional polite and attentive while also being accurate They should always be prepared and responsive willing to meet each challenge directly Administrative assistants must be comfortable with computers general office tasks and excel at both verbal and written communication Duties and responsibilities 1 Handling office tasks such as filing generating reports and presentations setting up for meetings and reordering supplies 2 Providing real-time scheduling support by booking appointments and preventing conflicts 3 Making travel arrangements such as booking flights cars and making hotel and restaurant reservations 4 Screening phone calls and routing callers to the appropriate party 5 Using computers to generate reports transcribe minutes from meetings create presentations and conduct research 6 Greet and assist visitors 7 Maintain polite and professional communication via phone e-mail and mail 8 Anticipate the needs of others to ensure their seamless and positive experience 9 Update and maintain office policies and procedures 10 Act as the point of contact for internal and external stakeholders 11 Write and distribute email correspondence memos letters and forms Requirements 1 Bachelor s degree in any stream is a must Masters is preferable 2 Prior administrative assistant experience is preferred 3 Excellent written and verbal communication skills 4 Proficient in English and Hindi Konkani Marathi is a plus 5 Excellent computer skills especially typing 6 Working knowledge of office equipment like printers TV Internet etc 7 Proficiency in MS Office MS Excel MS PowerPoint Google Docs etc 8 Attention to detail and problem-solving skills 9 Excellent time management skills and ability to prioritize work 10 Must possess strong interpersonal skills 11 Strong organization skills with the ability to multi-task 12 Must be dependable able to follow instructions respond to management direction and must be able to improve performance through management feedback 13 Must be able to effectively read and interpret information present numerical data in a resourceful manner and skillfully gather and analyse information Job Type Full-time Pay 18 000 00 - 22 000 00 per month Benefits Food provided Paid sick time Paid time off Provident Fund Work Location In person
