What You'll Be Doing

- Draft and edit client-facing documents, policies, and forms.
- Maintain accurate records of contracts, HR files, and organizational policies.
- Provide first-line technical support to clients (e.g., login troubleshooting, Google Workspace, and other common tools).
- Support onboarding and offboarding processes for client staff (accounts, access, checklists).
- Coordinate logistics for client meetings, trainings, or board sessions.
- Track deadlines for compliance filings, contracts, and other recurring requirements.
- Research and recommend tools or vendors for client operational needs.
- Support HR processes such as recruitment, benefits administration, and performance reviews.
- Consolidate information (survey results, budgets, reports) into summaries for leadership.
- Ensure filing systems (digital and shared drives) are consistent and organized.
- Prepare drafts of standard operating procedures (SOPs) and update existing ones.

Who We're Looking For

- 35 years of professional experience in operations, administration, or a related field.
- Excellent written and spoken English; ability to independently draft and polish client-facing documents.
- Strong proficiency with Google Workspace (Docs, Sheets, Slides, Drive).
- High attention to detail with the ability to consistently deliver error-free work.
- Strong organizational and project management skills; able to manage multiple client needs simultaneously without letting things fall through the cracks.
- Tech-savvy, with the ability to troubleshoot and provide first-line IT support. Comfort with AI tools and the ability to learn any new software quickly.
- Strong interpersonal skills, with the ability to communicate professionally with clients.
- Commitment to confidentiality and professional integrity.
- Some experience with payroll and compliance is preferred.

How Is Success Measured

You will be successful in this role if:

- Be the first point of contact and communicate professionally with clients regarding their requests and resolve their queries promptly.
- All clientfacing documents, policies, and forms are drafted/edited and delivered to clients within the agreed-upon timeline, with no significant corrections needed by leadership.
- Client staff onboarding and offboarding processes (accounts, access, contracts, checklists) are completed within the stipulated timeline for new requests, with 100% account/access accuracy (no lapses or unauthorized permissions).
- All compliance deadlines, contract renewals, HR benefit deadlines, and recurring requirements are tracked and met on time, every time (target: 100% adherence).
- The digital filing system (shared drives/contract & HR files/policies) is maintained so that documents are organized and retrievable for any given request, with zero missing files during periodic audits.
- Firstline technical support requests (login issues, Google Workspace, etc.) are responded to within a day of being raised and resolved (or appropriately escalated), with minimal repeated issues.
- No deadlines or emails (internal or external) are missed.
