**Job Summary**: The Personal Secretary - Medical provides administrative support to healthcare professionals, such as doctors and medical executives. This role involves managing medical records, scheduling appointments, handling patient correspondence, and ensuring the smooth operation of medical office functions.
**Key Responsibilities**:
- Schedule and manage appointments, consultations, and surgeries.
- Maintain and update patient records and medical files.
- Prepare and manage medical documents, reports, and presentations.
- Coordinate travel arrangements for medical staff.
- Assist in the preparation of meeting agendas and minutes.
- Ensure compliance with healthcare regulations and confidentiality requirements.
- Perform general office duties, such as ordering supplies and managing office equipment.
- Liaise with patients, medical staff, and external healthcare providers.
- Handle billing and insurance paperwork as needed.
**Qualifications**:
- Associate’s or Bachelor’s degree in Medical Administration, Business Administration, or related field.
- 2-3 years of experience in a medical administrative or secretarial role.
- Proficiency in medical software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- High level of discretion and confidentiality.
- Professional demeanor and strong interpersonal skills.
