**Admin Works Management**:
- Maintenance of all equipments (HVAC, Lifts, Genset, electrical installations to ensure 100 % operation status. Ensure & maintain records for all equipments & AMC updates.
- Maintainence of carpentary, plumbing, furniture & fixtures in the entire premises.
- Maintainence of the entire firefighting system including pump house, fire hydrants sprinklers etc.
- Capability to handle HT & LT power supply management.
- Management of the pest control services.
- Coordination with MSEDCL,MSEB, MIDC for facilitation.
- Ability to handle all safety audit requirements.
- Active ERT member to involve in all admin activities.
- Managing of the STP/ETP Plant, Lifts, ladders, shutters, Gates etc.
- Support in all the PPV requirements including regular maintainence.
- Management of electrical & STP Staff under his purview.
- Management of logistic movements inside and outside the premises
- Inventory Management of Electrical Material, Plumbing & other general requirements. Ensuring stock availability at all times to cater any emergency requirements. Timely PR preparation for Admin Consumable & Scheduling of material from vendor.
- Scheduling and arrangement of all AMC work & vendors with proper timeline management towards servicing.
- Ensure compliance of Lift. Electrical & Fire Inspector including documentation and work.
- Resolution of all employees Help Desk requests pertaining to portfolio.
- Manage Admin Help Desk requests. Attending to guest house R&M as escalated by Technical Assistant.
- Transport Management: Employee buses facility, pool car etc. Tracking of routes ensuring vehicle timeliness and safety.
- Garden & Landscape: management of garden & landscape with proper supervision to the vendor.
- IBMS Management: Fire & access Control system Management including CCTV.
**Facility management**
- Managing all office boys, housekeeping staff. Ensure hygiene ,sanitation and cleanliness of the entire premises.
- Managing of pest control services
- Stationary management including photocopy machines, projectors, fax maintainence, visiting cards, access cards & controls.
- Maintaining inventory towards provisional & grocery ,cutlery, toiletries etc.. Ensuring stock availability at all times to cater any emergency requirements
- Asset & Inventory management: maintaining of company assets if desired by superiors.
- Food Management including canteen, pantry and weekend requirements. This includes tracking & verification of vendor counts & requirements. Management of the Food committee
- Employee Clothing & Other Facilitation.
- Event Management: All event management with the help/support to HR & NPP department in various activities like walk-ins / annual day/ employee engagements.
- Responsible for guest house management includes rent, power, and operational conditions of all amenities. Attending to guest house queries as escalated by Technical Assistant.
- Support in documentation towards all HSE (ESH) requirements.
- Expat Management: Coordination and arrangement of residential premises for expats including school & other settlement support to expats. Ensuring timely payment of all requisites for distress free stay of expats. Planning & coordinating expat first time trips (e.g. Pune touring, residential area site seeing, school visits ).
- ERT Team Management: Responsible for managing the ERT team, conducting the mock drills with HSE manger.
- Management of VIP visits, Indoor/Outdoor seminars, conferences, trainings and co-ordination with HR & Technical team.
- Crisis management during and after office hours.
- ** Any other activity as assigned by the Head-Administration**
**Document Management**
- Preparation of Admin MIS and submit to reporting head every 10th of the month.
- Monthly & annual closing inventory inward and outward on or before last working day of the month/ year.
- Submission of any relevant data as required by management
- Material movement recording of the company (PPV, IT and general items)
- Monthly & annual closing inventory inward and outward on or before last working day of the month/ year.
- Processing and validation of all Invoices / bills for pertaining to his portfolio
Allianz documentation responsibility
**AUTHORISATION**:
- To decide on office boys/electricians/gardners/HK needed to complete the admin tasks.
- To take decision incase of shortage of food for employees based on limits prescribed.
- To decide on administrative standards for FTCI.
- To decide for emergency transport arrangements
- To decide necessary action in case of emergency/accident.
**Qualifications**:
- Bachelors Degree / Diploma in any field with prior experience of Min 10 to 12 years.
- Additional technical qualifiation in Electrical field would be prefered
- Experience in Auto /IT /Service industry would be preferred.
**Skills**:
- Result oriented Team player.
- Master in work flow & follow up process
- Thorough training/knowledge in Administration Domain.
