The People Coordinator will report to the Global Services People Business Partner and will provide administration, recruitment activity and onboarding support to the APAC region in order to help deliver a high level of service across the Company.
**DUTIES AND RESPONSIBILITIES**
- Arrange interviews which may include liaising with recruitment agencies.
- Support Manager’s with onboarding of new starters.
- Where required, facilitate the global services new starter induction meetings.
- Raise all employment references e.g., employment, tenancy etc.
- Organise and maintain up-to-date employee files e.g., job titles and handle filing on behalf of GS People Business Partner.
- Handle probation review administration and tracking.
- Regularly reviewing tasks within the People team inbox throughout the working day ensuring that queries are responded to within the SLA timeframes e.g., 48 hours, tagged/escalated to colleagues within the department etc.
- Create contracts, letters (such as for floats) or addendums for review and approval by a senior member of the HR team and issue to employee once approved/signed; usually via DocuSign.
- Create and update organisation charts (Visio or automated HRIS into org chart software). Publish the org charts to SharePoint monthly and in line with the deadline dates stipulated. Undertake regular organisation chart audits/reviews with department heads as to ensure that they are accurate.
- Conduct exit interview follow-up meetings once Culture Amp results complete.
- Use the relevant Teams channels to update the wider HR Team of specific news e.g. new starters, leavers, employee changes etc.
- Update trackers e.g. payroll, starters and leavers and addendums/changes.
- Ensure that the HRIS is kept up-to-date and employee records are accurate and in line with organisational changes and that this always done in real-time.
- Assist Compensation and Benefits Manager by providing relevant employee information e.g. starters, leavers, absences, changes etc.
- Assist where required, the payroll administration through the PEO providers.
- Administer and update the SharePoint HR site.
- Liaise with IT and other key stakeholders in the business, as to ensure that internal systems and processes are kept in step with the people changes.
- Champion diversity, equality and inclusion in the workplace and ensure best practice is adhered to.
- Initiating Culture Amp onboarding surveys and administering the system.
- Offboarding leavers on the Culture Amp system including exit interviews.
- Working with the GS People Business Partner on any ad hoc projects and provide general administrative support.
- Any other duties as requested by line management.
**SKILLS PROFILE**
- Previous experience working in Human Resources is essential.
- An understanding of recruitment and attraction methods is preferred.
- Good organizational skills with an ability to prioritise.
- Strong administration skills.
- High level of attention to detail.
- Confident using MS Office with a particular focus on Excel and Word.
