**Responsibilities**:
**Office Management**:
- Oversee daily office operations, including maintenance of office equipment and supplies.
- Coordinate with vendors for office services such as cleaning, security, and maintenance.
**Administrative Support**:
- Provide administrative support to various departments within the organization.
- Schedule meetings, appointments, and travel arrangements for IT personnel.
**Documentation and Record Keeping**:
- Maintain and organize documents, files, and records related to purchases, and contracts.
- Ensure proper filing and documentation of invoices, bills, and receipts.
**Facilitate IT Infrastructure**:
- Assist in the procurement and inventory management of equipment and software licenses.
- Coordinate with IT vendors for the purchase, delivery, and installation of hardware and software.
**Event Coordination**:
- Assist in organizing events, workshops, and training sessions.
- Coordinate logistics, venue bookings, catering, and other arrangements for events.
**Data Management**:
- Maintain confidentiality and security of sensitive information and data related to systems.
- Assist in data entry, data analysis, and preparation of reports as required by managers.
**Communication and Coordination**:
- Serve as a liaison between IT personnel, other departments, and external stakeholders.
**Compliance and Documentation**:
- Ensure compliance with company policies, procedures, and regulations related to IT operations.
- Assist in documentation and preparation for audits, compliance reviews, and regulatory requirements.
**Continuous Improvement**:
- Identify areas for process improvement and efficiency in administrative tasks related to IT operations.
- Suggest and implement solutions to streamline workflows and enhance productivity.
**Onboarding**:
- Facilitate the onboarding process for new hires, including paperwork, orientation, and training coordination.
**Employee Records Management**:
- Maintain accurate and up-to-date employee records in the HRIS (Human Resources Information System).
- Ensure compliance with relevant labor laws and regulations regarding record-keeping.
**Benefits Administration**:
- Assist employees with inquiries related to benefits such as health insurance and leave policies.
**Employee Relations**:
- Act as a point of contact for employee inquiries and concerns, providing guidance and resolution where possible.
- Assist in the resolution of employee relations issues, including investigations and disciplinary actions.
- Promote a positive work culture through communication, recognition programs, and employee engagement initiatives.
**HR Administration and Support**:
- Provide administrative support to the HR department, including managing calendars, scheduling meetings, and maintaining files.
- Assist with HR projects and initiatives, such as diversity and inclusion programs or employee wellness initiatives.
- Handle other HR-related tasks as assigned by HR management.
**Requirements**:
- Bachelor's Degree from any Stream.
- Proven experience as an Office Administrator or HR Generalist in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Office365) and other office management software.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
