**Job Title: Receptionist**
As a receptionist, you will be the first point of contact for our company. You will greet clients and visitors, answer phones, handle company inquiries, and provide information regarding the organization. Your primary responsibility will be to ensure efficient and professional receptionist and administrative support.
**Responsibilities**:
- **Greeting Visitors**: Welcome visitors in a warm and friendly manner, ensuring they sign in and directing them appropriately.
- **Answering Calls**: Manage a multi-line telephone system, answering calls promptly and transferring them to the appropriate departments or individuals.
- **Handling Inquiries**: Respond to inquiries from clients, customers, and the general public, providing accurate information about the company and its services.
- **Scheduling Appointments**: Coordinate appointments and meetings, managing calendars and ensuring meeting rooms are prepared.
- **Administrative Support**: Provide administrative support to various departments as needed, including data entry, filing, and preparing documents.
- **Maintaining Reception Area**: Keep the reception area tidy and presentable, ensuring supplies such as brochures and forms are stocked.
- **Security Monitoring**: Monitor security by ensuring visitors sign in and out, issuing visitor badges, and notifying appropriate personnel of any security concerns.
- **Handling Payments**: Collect payments for services rendered, issue receipts, and maintain accurate records of transactions.
- **Assisting with Special Projects**: Assist with special projects and events as assigned by management, contributing to the overall success of the organization.
**Qualifications**:
- High school diploma or equivalent.
- Previous experience in a receptionist or customer service role preferred.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Professional appearance and demeanor.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
