**ROLE DESCRIPTION: - **The role of an Admin Assistant is such an important. Admin Assistant duties can include everything from helping with time and daily management, scheduling of meetings, correspondence, and note-taking. The Admin Assistant can also expect to answer phone calls, take notes, schedule meetings.

**DEPARTMENT DESCRIPTION: - **Board office is a bridge between BOG and Organization to drive the organization's value-based strategy and work closely with CXOs to operationalize the value-based strategy, as well as Board, is the face of the organization in the outside world to demonstrate good work to the organization. The Board office also works as an observer to guide the activities of the organization towards organizational mission and vision.

**KEY RESULT AREAS & RESPONSIBILITIES**:
**Official**

1. Works closely with other team members to assure the Chairman’s preparation for meetings, presentations or other engagements. Administrative and functional activities include but are not limited to:
1. Scheduling and Meetings

2. Follow ups for meetings

3. IT related AMC (Home and Office)

4. Taking phone calls;
5. Maintaining Business files;
6. Corporate record keeping for multiple entities;
7. Note taking & creating documentation

8. Filing, Storage & Retrieval of business and personal activities.

9. Personal and official Travel arrangements.

2. Coordinates operations of Board’s office including:
a. Reception

b. Document preparation & control

c. Internal communications

3. General office maintenance to improve costs and effectiveness.

4. Any other duties as assigned.

**Personal**

5. Handles financial and accounting matters for the chairman with confidentiality.

a. **Payment** of Taxes (Income tax and Property tax).

**b. Payments of Bill
- **(Phone, Internet, Credit card, Electricity
- Home/GN, Gas etc.)

**c. Payments to Staff -** (Home and Office)

**d. Philanthropic Initiative and Donations (**Ram Lal, Delhi Christian Friends club, CK and Other)

e. Subscriptions
- Club (VV Club and Nirvana Club) Netflix, Amazon Prime, Hotstar, Times and Cloud.

**6. Manage**

a. Club Memberships

b. Health related appointment and file

c. Driving License

d. Passport renewal

**7. Travel**

**a. **Make travel arrangements (Personal/Officials)

**i. **Flight Booking (Refer Checklist)

**ii. **Hotel Booking (Refer Checklist)

**iii. **Preparation of travel Itinerary. (Refer Checklist)

**QUALIFICATION**:
Graduate with diploma in office management and secretariat practice.

Both fresher as well as experienced can apply.
