**Position Overview**

The Office Administrator is a key partner in managing the day-to-day business within the office(s) and ensure smooth and efficient office processes.

**General Responsibilities**
- Answer and direct phone calls.
- Greet and assist visitors.
- Perform general clerical, administrative and office duties.
- Operate and maintain office equipment including printers, copiers.
- Work with maintenance staff and outside vendors to ensure office equipment is in good working order.
- Responsible for ordering and maintaining office and maintenance supplies, safety supplies and placing other orders as needed.
- Handle expense claims.
- Ensure all invoices received are accurate and sent to AP for processing.
- Communicate with vendors to resolve any shipment issues (i.e. tracing, shortages, pricing, overages, etc.).
- Prepare and mail couriers when needed.
- Plan and arrange for all-hands meetings, team lunches, and festival celebrations.
- Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
- Additional duties as assigned.

**Qualifications**
- Tertiary studies in business administration or commerce preferred.
- Preferably relevant training qualification in office administration, procedures and computing.
- Experience as Team Assistant, Personal Assistant or Office Manager.
- Proven experience as an Administrative Assistant.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent interpersonal skills.
- Excellent written and verbal communication skills in English.
- Strong organizational skills with the ability to multi-task
