As a Managing Director's Personal Secretary/Assistant, your role is crucial in providing administrative support and ensuring the smooth functioning of the office. Calendar management: You will be responsible for managing the Managing Director's schedule, including scheduling and organizing meetings, appointments, and events. This includes coordinating with internal and external stakeholders to find suitable time slots and ensuring all necessary arrangements are in place.
Travel arrangements: You will be responsible for making travel arrangements for the Managing Director, including booking flights, accommodations, transportation, and preparing travel itineraries. This may involve coordinating with travel agencies, managing visas, and ensuring all travel-related documents are in order.
Meeting support: You will assist in preparing meeting agendas, collating relevant documents, and distributing them to participants ahead of meetings. During meetings, you may take minutes, record action items, and follow up on pending tasks.
Office management: You will oversee various administrative tasks to ensure the office operates smoothly. This may include managing office supplies, coordinating maintenance and repairs, handling incoming and outgoing mail, and maintaining organized filing systems.
Confidentiality and discretion: As the Managing Director's assistant, you will handle sensitive and confidential information. It is essential to maintain the highest level of discretion, ensuring that confidential matters remain confidential and are handled appropriately.
