**Job Summary**:
The Administrative Assistant performs administrative assignments of a confidential nature for senior level managers. This position requires continuous use of technical and business vocabulary and a detailed knowledge of organizational operations, procedures and staff. This position must interact with all levels of the organization in a professional and effective manner.

**Essential Functions**:

- Within guidelines, makes independent decisions regarding planning, organizing and scheduling work.
- Utilizes strong computer skills to prepare complex correspondence, reports, presentations, charts, tables and forms.
- Uses discretion and judgment when screening visitors and telephone calls, scheduling appointments and organizing work load to meet established priorities.
- Organizes work load to comply with deadlines and priorities, works independently to complete routine correspondence, reports and forms for review.
- Provides coordination of scheduling/meetings for senior management.
- Makes travel and stay arrangements as needed both domestically and internationally.
- Timely maintain vendor agreements.
- Maintain monthly attendance report for employees, workers and apprentice.
- Plan committee meetings and maintain canteen and housekeeping operations.
- Administrative support for training and related activities/events.
- Uphold applicable statutory compliance in accordance with legislation.
- Purchases items using Coupa/Ariba as needed, also process vendor bills timely.
- Ability to coordinate activities with other functions as needed.
- Special projects as needed.

**QUALIFICATIONS**:
**Education and Experience**:

- Bachelors or Master’s degree in human resources, labor relations, or organizational development, or in a related discipline.
- Proven HR admin or assistant experience of 3-5 years
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
