**Overview**:
As a Front Office Guest Service Agent (GSA) in a 5-star hotel, you will be the first point of contact for guests, providing them with a warm welcome and ensuring a seamless check-in and check-out process. Your role is crucial in creating a positive first impression and delivering exceptional service to guests throughout their stay. This position requires a combination of hospitality, communication, and organizational skills to meet the high standards of service expected in a luxury hotel environment.
**Key Responsibilities**:
- **Guest Check-In and Check-Out**:
- Welcome guests upon arrival with a friendly greeting and assist them with the check-in process.
- Verify guest information, confirm reservations, and assign rooms based on guest preferences and availability.
- Process payments, issue room keys, and provide information about hotel facilities, services, and policies.
- Ensure accurate billing and invoicing, including the collection of any outstanding balances upon check-out.
- **Guest Assistance and Concierge Services**:
- Provide personalized assistance and recommendations to guests regarding dining, entertainment, transportation, and local attractions.
- Handle guest inquiries, requests, and special arrangements, such as room upgrades, restaurant reservations, and transportation bookings.
- Coordinate with other hotel departments, such as housekeeping and maintenance, to fulfill guest requests promptly and efficiently.
- **Telephone and Front Desk Operations**:
- Answer incoming calls promptly and courteously, providing information, taking messages, and transferring calls to the appropriate departments or personnel.
- Maintain the front desk area in a neat and organized manner, including the display of promotional materials, brochures, and guest amenities.
- Handle guest mail, packages, and deliveries, ensuring they are logged, stored securely, and delivered to guests in a timely manner.
- **Guest Relations and Problem Resolution**:
- Address guest concerns, complaints, or issues promptly and professionally, seeking resolution to ensure guest satisfaction.
- Anticipate guest needs and preferences, proactively offering solutions and assistance to enhance their stay experience.
- Maintain a calm and courteous demeanor during high-pressure situations, demonstrating empathy and empathy towards guests' concerns.
- **Administrative Duties and Reporting**:
- Maintain accurate records of guest interactions, reservations, and transactions using the hotel's property management system (PMS) or other relevant software.
- Prepare daily reports, including occupancy, arrivals, departures, and revenue figures, for management review and analysis.
- Assist with administrative tasks, such as filing, data entry, and photocopying, to support the smooth operation of the front office department.

- Knowledge of hotel operations, including reservations systems, check-in/check-out procedures, and guest service standards.

- Flexibility to work shifts, including evenings, weekends, and holidays, as required in a 24/7 hotel operation.
