Customer Service Assistant

**Job Summary**
The **Assistant Customer Service Representative** supports the Customer Service Representative team in managing customer interactions, coordinating internal processes, and maintaining records. This role ensures a seamless customer experience by providing administrative and operational support to enhance the efficiency and effectiveness of the customer service department.
**Key Responsibilities**
- Support the preparation and delivery of quotations for local and international customers.
- Help track and update the status of purchase orders and service schedules.
- Maintain accurate records of customer information, including new and existing accounts.
- Coordinate with internal teams to facilitate smooth service delivery, including scheduling and tracking technician assignments.
- Generate basic reports for calibration recalls, sales activities, and status updates to assist the sales team.
- Assist in updating and monitoring customer-related information in the company’s system.
- Collaborate with the accounting team by providing necessary details for invoicing and collections.
- Organize and maintain department files, ensuring timely documentation and safekeeping.
- Participate in team activities, meetings, and training sessions to support personal and team development.
- Adhere to safety standards, confidentiality practices, and company policies in all activities.
- Perform additional administrative and operational tasks as assigned to support departmental goals.
**Qualifications**
**Essential**:
- High school diploma or equivalent; associate degree preferred.
- Strong communication skills, both verbal and written.
- Detail-oriented with strong organizational skills.
- Ability to multitask and prioritize workload effectively.
**Preferred**:
- Previous experience in customer service, sales support, or a related administrative role.
- Familiarity with CRM or similar customer management systems.
- Knowledge of calibration services or technical industries (if applicable).
