Position: Import/Export Executive

Location: Gurgaon

Reports To: International Logistics Manager

Department: Supply Chain & Logistics

Industry: Organic Food Products, Import/Export, Supply Chain

Key Responsibilities:
1. Import and Export Shipment Management:

- Coordinate the end-to-end logistics for importing and exporting organic food

products between India and the Netherlands.
- Manage shipping schedules, select appropriate freight carriers, and track

shipments to ensure timely deliveries.
- Liaise with freight forwarders, shipping lines, and customs brokers to resolve

any issues and ensure smooth operations.

2. Documentation Handling:

- Prepare and process all necessary import/export documents, including:
▪ Commercial invoices

▪ Packing lists

▪ Bills of lading

▪ Certificates of origin

▪ Health and phytosanitary certificates (for food products)

▪ Import/export licenses and permits

Ensure that all documentation meets Indian and Dutch regulatory requirements

and aligns with international trade standards.

3. Customs Compliance:

- Ensure compliance with both Indian and Dutch customs regulations, including

tariffs, duties, and any special import/export requirements for organic food

products.
- Coordinate with customs brokers and agents in the Netherlands to facilitate

customs clearance and resolve any issues.
- Stay updated on changing import/export laws, tariffs, and trade regulations in

both countries.

4. Inventory and Shipment Tracking:

- Monitor the status of all shipments, proactively addressing delays or issues

related to shipping or customs.
- Maintain an up-to-date inventory of all goods in transit, ensuring that any

discrepancies are immediately investigated and resolved.
- Provide regular updates to internal teams (sales, procurement, and inventory

management) on the status of shipments and deliveries.

5. Vendor and Stakeholder Coordination:

- Collaborate with internal teams (procurement, sales, finance) to ensure seamless

communication and coordination regarding shipment schedules, inventory

levels, and documentation.
- Negotiate with shipping and logistics providers to optimize costs and service

levels for both inbound and outbound shipments.

6. Problem Resolution:

- Address any operational issues related to shipments, including delays, damage,

or non-compliance with standards, and take swift action to resolve these

problems.
- Coordinate with suppliers, freight forwarders, and customs authorities to

resolve issues promptly and maintain a continuous flow of goods.

7. Reporting and Analysis:

- Generate regular reports on shipment status, customs clearance, shipping costs,

and other key performance indicators (KPIs) for management review.
- Provide analysis and recommendations on improving efficiency, reducing costs,

and optimizing supply chain processes.

Skills and Qualifications:

- Education: Bachelor's degree in Logistics, Supply Chain Management, International

Business, or a related field.
- Experience:

- 2-3 years of experience in import/export operations, logistics, or supply chain

management, preferably in the food, agriculture, or organic product industry.
- Strong understanding of international trade, customs procedures, and regulatory

requirements, particularly for food products.
- Familiarity with trade regulations in both India and the Netherlands (including

EU regulations for organic food exports).
- Technical Skills:

- Proficient in MS Office (Excel, Word) and logistics management software (ERP

systems, CargoWise, or similar tools).
- Knowledge of shipping platforms, supply chain tools, and customs compliance

software.
- Communication Skills:

- Excellent written and verbal communication skills, with the ability to coordinate

with international teams, suppliers, and customs officials.
- Attention to Detail:

- High attention to detail, especially in preparing and reviewing shipping

documentation and ensuring compliance with trade regulations.
- Problem-Solving Ability:

- Strong analytical skills with the ability to identify and resolve issues quickly,

ensuring mínimal disruption to the supply chain

Pay: Up to ₹600,000.00 per year
